Everything about RecurBoard and subscription KPIs

RecurBoard is a Dutch SaaS application that automatically turns the subscription data in Exact Online into subscription KPIs: MRR, ARR, churn, NRR, GRR, LTV, CAC and cohort analyses, plus profit & loss, balance sheet and cash flow. All in one dashboard, always up to date, with no exports or Excel.

RecurBoard was founded by Duncan Hobeijn and Timo van Noppen, who met at Exact. Duncan is a SaaS CFO and was Finance Director Cloud Solutions at Exact. Timo led DevOps, quality assurance and information security for Exact Online, and was then Senior Director DevOps & Information Security at BlueConic.

At every SaaS company where Duncan was CFO, the same thing happened: every month, exporting dumps from Exact Online, copying columns and re-checking formulas to get the subscription numbers. There was no standard solution for SaaS metrics from Exact Online. RecurBoard is the tool the founders always wanted for themselves.

RecurBoard calculates ARR, MRR and Committed MRR with growth rates, NRR (Net Revenue Retention), GRR (Gross Revenue Retention), the ARR Bridge (new, expansion, contraction and churn), logo churn and ARR churn, cohort analyses with a retention heatmap, ARPA, LTV and CAC. It also shows your profit & loss, balance sheet and cash flow from the same administration.

You connect RecurBoard once through Exact Online's official OAuth login. RecurBoard then reads your subscriptions from Exact Online Subscription Management and your financial administration, and calculates your KPIs automatically. The connection is read-only: RecurBoard never writes to your administration.

RecurBoard syncs with Exact Online automatically and refreshes your numbers every hour. You don't need to export or maintain anything by hand: what's in Exact Online is what you see in RecurBoard.

No. RecurBoard is not accounting software and does not replace Exact Online. It reads your existing Exact Online administration and calculates the subscription KPIs your accounting package doesn't provide. Your subscriptions, invoices and bookkeeping stay in Exact Online.

Yes. The Exact Online connection is read-only and runs through the official OAuth login, so RecurBoard cannot change anything in your administration. Each administration is shielded from other users. RecurBoard follows the security standards the founders previously set up at Exact Online, with encryption and least privilege as the baseline. Your data stays yours.

RecurBoard is built for Dutch small and medium-sized businesses that use Exact Online and have recurring revenue. There are two audiences: business owners with a subscription model who want to see their own numbers, and accountants and advisory firms that offer subscription reporting to their clients as an advisory service.

Yes. RecurBoard works for any business that invoices monthly or annually, such as gyms, cleaning companies, installers with maintenance contracts and insurance offices. If you manage subscriptions in Exact Online, RecurBoard calculates your KPIs automatically.

RecurBoard lets a firm turn subscription reporting into a scalable advisory service. You manage your clients' administrations in one environment, your clients log in themselves to see their KPIs live, and users on both sides are unlimited with no extra seats. With Advisory Premium it runs under your own brand and logo (white-label).

Yes. Each Exact Online environment counts as one administration. With consolidation you see your KPIs and financials combined across multiple administrations, including those in foreign currencies, and can drill down per administration. That suits holdings, franchises and groups with multiple entities.

Yes, in two ways. The built-in AI assistant answers questions about your own data in plain language. With the MCP connector you link RecurBoard to your own AI assistant, such as Claude, ChatGPT or Copilot, and ask for example how many customers cancelled last month. Both work read-only on your live Exact Online data.

SaaS KPIs are the metrics for businesses with recurring revenue, such as MRR, ARR, churn and NRR. Revenue and profit show what happened, but not whether your customer base is growing or shrinking. SaaS KPIs show how much predictable revenue you have, how many customers you lose and whether existing customers buy more. That lets you correct course before it shows up in your annual figures.

MRR (Monthly Recurring Revenue) is the recurring revenue you earn from subscriptions each month, normalised to a monthly amount. ARR (Annual Recurring Revenue) is the same recurring revenue on an annual basis, usually MRR times twelve. One-off revenue, such as setup or consulting fees, counts towards neither.

Churn is the loss of customers or revenue through cancellations. Logo churn counts the share of customers that cancel, ARR churn the share of recurring revenue that disappears. A small difference in churn has a large effect on revenue over time, and a rise you spot early can still be reversed. That is why churn should be measured monthly.

NRR (Net Revenue Retention) shows how much revenue your existing customers generate now compared with a year ago, including expansions, downgrades and cancellations. Above 100%, your revenue grows even without new customers. GRR (Gross Revenue Retention) leaves out expansions and shows only the loss from churn and contraction, capped at 100%.

LTV (Customer Lifetime Value) is the total revenue or margin a customer generates on average for as long as they remain a customer. CAC (Customer Acquisition Cost) is what it costs to win one new customer. The ratio between the two shows whether your growth is profitable: an LTV of at least three times CAC is considered healthy.
