For entrepreneurs with subscriptions
SaaS KPIs are not only for SaaS.
If your business invoices monthly, it behaves like a SaaS, whether you sell software, gym memberships or maintenance contracts.

The problem
Your revenue figure doesn't lie, but it doesn't tell the whole story either.
Most entrepreneurs look at three things every month: revenue, costs and profit. Logical, it is what your bookkeeping gives you. But for a business with recurring revenue those numbers miss the point.
Imagine: your gym does €92,000 revenue this month. Last month €90,000. Good news? Maybe. But what if you signed up 40 new members and 35 cancelled at the same time? Your foundation is rattling, you only grow because you raised prices. You don't see that in revenue. You see it in MRR movement and churn.
Your revenue is rising
but you are losing customers
Your churn is rising
but you see it too late
“Recurring revenue is a model, not an industry. The metrics SaaS companies have used for ten years work just as well for fitness, cleaning and maintenance.”
Daan Hoogers, co-founder RecurBoard
The metrics
Four KPIs that apply to every subscription model
None of these terms were invented for software. They were invented for recurring revenue, and you have that too.
The predictable revenue per month from all your active subscriptions. Not the same as invoiced revenue, MRR shows what's coming in structurally next month.
The percentage of customers (or MRR) cancelled this month. The most important health indicator of your business. A churn spike in January can still be reversed. One you discover in April is a lost quarter.
How much revenue your existing customer base brings in this year vs. last year, without counting new customers. >100% means you grow even without acquiring a single new customer.
MRR divided by active customers. Tells you whether customers are getting more or less expensive. ARPA up? You sell more per customer. Down? You grow in volume but lose margin.
Traditional vs. subscription analytics
What traditional KPIs don't tell you
| What you want to know | Traditional figures | RecurBoard |
|---|---|---|
| Am I really growing? | Revenue increase: could be one-off | Net MRR growth: new − cancelled + upgrades |
| How loyal are my customers? | Customer count: no trend visible | Churn & NRR: movement in both directions |
| What is a customer worth? | Invoice amount: single moment in time | ARPA & LTV: predictable over the lifetime |
| What does my future look like? | Gut-feel forecast, Excel, often too optimistic | ARR & cohort retention: based on historical behaviour |
Four sectors, same insights
Do you recognize your business?
Illustrative scenarios for sectors where RecurBoard adds value, not customer cases. The insights apply to any business with recurring revenue.
Gym: the summer churn
Your revenue report says "stable summer" every year. But churn analysis shows you cancel 40% more in July and August than in other months. With SaaS KPIs you can test a pause subscription and measure whether it actually holds your NRR.
Cleaning company: growth that isn't growth
Your revenue is up 8% this year, so you think you are growing. But MRR from existing customers stayed flat, all growth comes from new customers, while ARPA is dropping. Translation: your new customers are cheaper than your old ones. Without SaaS KPIs you work hard for ever-shrinking margin.
HVAC maintenance: the value of a contract
A one-off boiler service brings in €180. An annual contract €300, but with 8% churn that customer stays an average of 8 years. That is not a €300 customer, that is a €2,400 customer. Without LTV you keep underselling on every proposal.
Insurance office: making the obvious visible
Your recurring policies are 80% of your revenue, but they are treated as an accounting line. With MRR and NRR you see at a glance whether your portfolio grows, shrinks or stays stable, and which product lines drive churn.
Why don't most businesses have these figures?
Not because they are not useful. Because they are not on the invoice. Your accounting package records transactions, not the question "how many customers did I lose compared to last month?"
So most businesses do not. Or they do it once a quarter, when there is time. But a churn spike you see in January can still be reversed. One you discover in April is a story about what you lost last quarter.
